All bookings are final. Fees are non-refundable in whole or in part, irrespective of the date of cancellation or of non-attendance. This reflects the nature of the residency: places are limited, cohort composition is curated, and accommodation and programme costs are committed to suppliers on confirmation of booking.

Where a booking is paid in instalments, the full balance remains payable notwithstanding cancellation or non-attendance.

A Participant unable to attend may nominate a replacement in writing to davos@j3d.ai at no charge up to 30 days before the event start. Between 30 and 11 days before the start, a substitution fee of CHF 250 applies. No substitutions are accepted within 10 days of the event start.

All replacements are subject to approval, as participation is subject to qualification. Speaking slots and programme roles do not transfer automatically.

At its sole discretion, J3D.AI Labs OÜ may issue a credit toward a future edition in place of a substitution. Such credit is a concession, not an entitlement.

3. Cancellation or postponement by J3D.AI Labs OÜ

J3D.AI Labs OÜ may cancel or postpone an event up to 30 days before the start date — in particular where participant numbers are insufficient, key speakers are unable to attend, the venue becomes unavailable, or in cases of force majeure.

In the event of cancellation, the Participant receives a full refund of fees paid or, at the Participant's election, a credit valid for the next edition.

In the event of postponement, the booking transfers to the new date; a Participant who cannot attend the new date may request a full refund within 14 days of being notified.

Force majeure includes epidemic or pandemic and related public-health measures, war, civil unrest, terrorism, government action, travel restrictions, strikes, natural disaster, and failure of critical infrastructure. Where an event cannot proceed for such reasons, Section 3 applies and neither party is liable for consequential loss.

J3D.AI Labs OÜ reserves the right to amend the programme, substitute speakers, and change session times, formats or the venue at short notice, provided the overall value of the event to the Participant remains equivalent. Participants will be informed of material changes to date or location in good time. Such changes do not give rise to a right of cancellation or refund.

6. Travel, accommodation and ancillary costs

Participants are responsible for their own travel, visa and insurance arrangements. J3D.AI Labs OÜ does not reimburse travel, accommodation booked independently, or other costs incurred in connection with a cancelled, postponed or amended event. Participants are advised to hold appropriate event-cancellation insurance.

The total liability of J3D.AI Labs OÜ arising from cancellation, postponement or amendment is limited to the fees actually received from the Participant for that event. This limitation does not apply to liability for intent or gross negligence, for injury to life, body or health, or to any liability that cannot be limited under applicable mandatory law.

Under §53(4) of the Estonian Law of Obligations Act, implementing Article 16(l) of Directive 2011/83/EU, the 14-day right of withdrawal does not apply to contracts for leisure services provided on a specific date or during a specific period. Bookings are therefore subject to Sections 1–2 above.

Approved refunds are issued to the original payment method within 30 days of confirmation, in the currency of the original transaction. Exchange-rate movements and payment-provider fees are borne by the Participant.

This policy is governed by Estonian law. The courts of Tallinn have exclusive jurisdiction, save that consumers retain the protections of the mandatory law of their country of residence. Where this policy conflicts with the Terms & Conditions of sale, the Terms & Conditions prevail.

- We have beers, Aperol Spritz. Anything else you'd like to bring or snack (potluck dinner), kindly bring it with you to share with all!

- Bring your ID card. It will be needed at registration desk.

There's some limited street parking around the building. We recommend to go by public transportation. Nearest U-Bahn U1 "Georg Brauchle Ring" is 3min walking distance.
