We all been in the situation where we know the information exists, whether its in emails, reports, meeting notes, spreadsheets, shared drives and people's heads. The hard part is turning it into something people and AI systems can actually use.

This goes beyond "add a vector database". We'll look at when to reach for files and Markdown, metadata, keyword search, databases (e.g. sqlite, duckdb), vector search, hybrid retrieval, knowledge graphs, agent-maintained wikis and RAG.

Organise upfront : use AI to tag, summarise and connect information as it arrives. Powerful, but you're trusting the AI not to misclassify or oversimplify.
Retrieve on demand : keep sources intact and search them when a question comes in. Traceable, but retrieval can miss things or fail to connect scattered context.
