The Agentic AI Forum: Making AI Work Across the Organisation
An interdisciplinary panel and simulation workshop on organisational AI fluency
Hosted by NovaLex & Epicenter
AI agents can act across business systems and make decisions within seconds. But companies are introducing them faster than their teams can learn how to use, supervise and govern them effectively.
The consequences show up quickly: promising pilots struggle to scale, employees lack confidence, approvals become bottlenecks and nobody is quite sure who owns a mistake. Meanwhile, duplicated tools and unnecessary token spend remain difficult to spot.
Successful agentic AI adoption requires people across the organisation to make informed decisions together.
The Agentic AI Forum brings together multidisciplinary conversations into one room, with a shared challenge and plenty of room to disagree.
Expect a candid panel, a simulation you can join or observe, and drinks, bites and a DJ to carry the conversation into the evening.
The Panel: Behind the AI Deployment Decision
We will bring legal, technical and business experts to examine the gaps between leadership’s expectations, engineering decisions and employees’ experience, including:
AI fluency across departments: What should managers, developers, legal teams and operational users each understand to use and supervise agents confidently?
Shared decisions and accountability: Who sets an agent’s authority, approves its deployment and takes responsibility when something goes wrong?
Business context and performance: How do teams translate their policies, customer commitments and operational knowledge into instructions and tests an agent can follow?
Cost and visibility: How can companies identify duplicated AI tools, unnecessary processing and rising token spend?
Governance in everyday work: How can AI literacy, human oversight and applicable AI Act requirements become part of product development and daily operations?
The Simulation Workshop: Would you give this agent the green light?
Your hypothetical company wants to deploy an AI agent stat. The business wants faster service and lower costs. Would you sign this off?
Small groups will work through competing priorities, taking perspectives from product, engineering, legal and operations. With facilitators and worksheets to guide you, you’ll decide:
What the agent can do independently and when a person must approve.
How to test accuracy, escalate mistakes and pause the system.
What performance and token budget are acceptable.
Whether to launch, restrict or delay deployment.
You’re welcome to join any workshop or simulation task, contribute to the discussion or simply watch how others approach the challenge. Participation and presenting are entirely optional.
We welcome perspectives from business, product, legal, compliance, operations, engineering and beyond. You don’t need coding skills or previous experience with AI agents.
Take the work back to your organisation
All attendees will receive a physical deployment pack containing:
A deployment and risk checklist.
An authority and responsibility matrix.
A human oversight worksheet.
An AI responsibility explainer.
Participating groups will use these resources to develop a decision record and implementation plan. Anyone interested in continuing the conversation can explore Amsterdam Tech Collective working groups and implementation clinics after the event.
