​Thanks for joining the demonstration. This workshop is for councils that want to explore AI in procurement together, sharing learnings and costs rather than each experimenting on its own.

​It’s a working session, so come ready to contribute. We’d recommend bringing other representatives from your council, such as your HO Procurements or Corporate Services, etc.

​Agenda

​1. Welcome and shared pain points (15 min)

• ​What we've heard: Sumday to share the most common use cases from all council demos to date (tenders, intake/self serve and contract management).

• ​Quick round: prioritisation - does everyone agree these use cases would deliver the strongest value for their council?

​2. Capturing shared value as a group: Example (25 min)

• ​Step through the tender workflow for one council (previously set up for the demo purpose)

• ​Note if you have variations to that process - what do you do differently? Sumday to explain how that is managed.

• ​Live walkthrough of the agent handling a real workflow: RFP, drafting, evaluation support and how it would vary by council but take the shared learnings

• ​Noting what has to be true for this to work as intended in your council - change management, customisations, performance

​3. Measuring value - the business case (20 min)

• ​Time saved, risk reduced: defining success - step through what success looks like and how it is measured

• ​Discuss any concerns with extracting promised value

• ​The business case fundamentals

• ​Open floor for questions

• ​Proposed approach for pilot

• ​What each council takes away to discuss internally

• ​How learnings can be shared across other councils as you start to lead in experience with AI in procurement
